The International Diplomacy Summit ("IDS," "we," "us," or "our") is a standing institution dedicated to developing young diplomatic leadership, comprising an annual multi-city Summit series and affiliated standing programmes including the IDS Fellowship, Policy Forum, Youth Council, Research Journal, Leadership Academy, and Alumni Network.
By registering for, attending, sponsoring, exhibiting at, speaking at, or otherwise participating in any IDS Summit edition or affiliated programme, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.
2.1 Registration. All registrations are subject to review and acceptance by IDS. IDS reserves the right to accept or reject any registration at its sole discretion to ensure the quality, relevance, security, and integrity of its delegate cohort.
2.2 Payment. Registration is confirmed only upon receipt of full payment unless otherwise agreed in writing by IDS.
2.3 Pricing. All fees are quoted in the applicable currency (USD, EUR, INR, AED, SAR, SGD, or other specified currency depending on the edition) and are exclusive of applicable taxes unless otherwise stated. Prices are subject to change without prior notice until registration has been confirmed.

If a registration is declined by IDS, any payment received will be refunded in full through the original payment method.
4.1 Cancellation Requests. All cancellation requests must be submitted in writing to info@idssummit.org.
4.2 Refund Policy. Cancellation requests received more than 30 calendar days prior to the relevant edition are eligible for a 50% refund of the registration fee. Requests received 30 calendar days or less before the edition are not eligible for any refund.
4.3 Delegate Substitutions. Registered delegates may nominate a substitute attendee from the same institution at no additional cost by notifying IDS at least seven (7) business days prior to the edition.
IDS reserves the right to modify the programme agenda, change or substitute speakers, amend session timings, change the venue, postpone or cancel an edition, or modify the event format (in-person, virtual, or hybrid) where circumstances require. In the event of postponement, registrations will automatically be transferred to the revised date unless otherwise communicated.
IDS shall not be liable for any delay, interruption, postponement, or cancellation arising from events beyond its reasonable control, including but not limited to natural disasters, government restrictions, pandemics, public health emergencies, acts of terrorism, civil unrest, war, industrial disputes, transportation disruptions, power failures, internet outages, or any other force majeure event.
By attending an IDS Summit or programme, participants grant IDS the unrestricted right to photograph, film, livestream, record audio and video, and use such materials for promotional, educational, editorial, archival, marketing, and institutional purposes across print, digital, broadcast, and social media platforms without further consent or compensation. Participants who do not wish to appear in official event media should notify IDS in writing before the commencement of the relevant edition.
All event content including presentations, publications, recordings, branding, graphics, event materials, websites, and digital assets remain the intellectual property of IDS or their respective owners. No material may be reproduced, distributed, published, transmitted, copied, or commercially exploited without prior written permission.
To the maximum extent permitted by law, IDS shall not be liable for any indirect, incidental, consequential, punitive, or special damages arising from participation in any edition or the use of its services. IDS's total liability shall not exceed the total registration fee paid by the participant for the relevant edition.
The International Diplomacy Summit (IDS) operates through affiliated legal entities in multiple jurisdictions. The governing law applicable to any agreement, participation, sponsorship, partnership, or engagement with IDS shall be determined by the legal entity administering the relevant IDS programme or summit.
Where applicable, such agreements shall be governed exclusively by the laws of one of the following jurisdictions:
Any dispute arising from or relating to these Terms & Conditions shall be submitted to the exclusive jurisdiction of the competent courts of the jurisdiction governing the applicable IDS entity or event, unless otherwise agreed in writing by the parties.
IDS reserves the right to amend these Terms & Conditions at any time without prior notice. The latest version published on this page shall supersede all previous versions.

By registering for any IDS edition, you acknowledge and consent that your professional contact information (name, institution, email, phone, country, and areas of interest) may be shared with hosts, sponsors, speakers, partners, and approved participants for networking, delegate collaboration, and future edition invitations.
IDS does not sell personal information for unrelated commercial purposes. Sensitive personal information including payment details, financial information, and government-issued identification will never be shared with sponsors or partners.
Participants who wish to opt out of such data sharing must notify IDS in writing prior to the relevant edition. Please note that opting out may limit participation in networking programmes or delegate directories.
To facilitate delegate networking, IDS may create Delegate Directories, Alumni Network profiles, and Meeting Scheduling Systems. By registering, participants consent to their profile being made available to other registered delegates, speakers, partners, and host institutions for legitimate networking purposes. Participants may request exclusion from delegate directories by submitting a written request before the relevant edition.
IDS implements appropriate administrative, technical, and organisational safeguards to protect personal information from unauthorised access, misuse, disclosure, alteration, or destruction. Although every reasonable effort is made to protect information, no electronic transmission or storage system can be guaranteed to be completely secure.
By registering for our editions or subscribing to our services, you consent to receive communications relating to future editions, programmes, research publications, newsletters, and partner activities. You may unsubscribe at any time using the unsubscribe link included in our communications or by contacting us directly.

All cancellation requests must be submitted by email to info@idssummit.org. All cancellations are subject to written acknowledgement by IDS.
More than 30 calendar days before the edition: Participants are eligible for a 50% refund of the registration fee.
30 calendar days or less before the edition: No refund shall be applicable.
If IDS declines a registration because the participant does not meet the edition's eligibility criteria, a full refund will be issued using the original payment method.
Approved refunds will be initiated within 14 business days from the date of written confirmation. The time required for funds to be credited to the participant's account depends on the issuing bank or payment provider. Bank charges, foreign exchange differences, and transaction fees imposed by financial institutions shall be borne by the participant. Refunds will be made through the original payment method wherever possible; for payments made by bank transfer, participants may be required to provide valid bank account details for processing.
